Purpose

This policy explains when and how children are collected from our after-school programs, what happens if a pick-up runs late, and the fees that apply. It's here to keep children safe and to be fair to our coaches, who stay with your child until you arrive. It applies to our after-school programs and forms part of your terms of enrolment.

Session Finish and Collection

Our after-school sessions finish at 4:30pm. Your child will be ready for collection at the designated pick-up point at 4:30pm, and we ask that every child is signed out by 4:40pm. Until your child is collected, they stay supervised in our care. We never leave a child waiting alone, and we never send a child home alone.

The Grace Period

We know the odd delay happens, so the ten minutes from 4:30pm to 4:40pm is a grace period with no fee. If you haven't arrived by 4:40pm, our team will start calling the contact numbers on your child's enrolment, so please keep your phone handy around pick-up time.

If You're Running Late

If you know you're going to be late, call us as early as you can on 0450 078 401. A heads-up makes a real difference. It means we can reassure your child, plan for a coach to stay, and avoid starting the contact process unnecessarily. You're also welcome to arrange for another authorised person to collect your child (see below).

Late collection fees

Our coaches finish their day when the last child is collected, so when a pick-up runs late, someone has to stay back. The fees below cover that time. They're not a penalty, and by enrolling you agree that where a late collection happens, the fee may be charged to the payment method on your account.

  • 4:41pm to 4:50pm: $25, with a reminder about pick-up times.

  • 4:51pm to 5:00pm: $50, with a written note confirming the late collection.

  • After 5:00pm: $75, and we'll give you a call to talk it through.

If something genuinely outside your control made you late, tell us. We deal with these case by case and we're reasonable about one-off emergencies.

If We Can't Reach You

If your child hasn't been collected and we can't reach you on any of your contact numbers, we work through your emergency contacts. Throughout, your child stays calmly supervised with a coach. If a significant amount of time passes, your child still hasn't been collected, and we've been unable to reach you or any of your contacts, we have a duty of care to act. We'll coordinate with the school where relevant and, as a last resort, contact the police or the relevant authorities for advice on keeping your child safe. This is rare, and a quick phone call from you the moment you know you're delayed almost always prevents it.

Who Can Collect Your Child

We'll only release your child to you or to someone you've named as an authorised person. If someone else needs to collect your child, let us know in advance. If a coach doesn't recognise the person collecting, or they're not on your list, we'll check with you before your child leaves. We'd always rather make a quick call than get it wrong.

Repeated Late Collection

A one-off is no problem. But where late collection becomes a regular thing, it puts a real strain on our coaches and our program, and we'll have a conversation with you to sort it out together. If it continues after that, we may need to talk about whether the program is workable for your family. That's always a last resort and always a conversation, never a surprise.

Why This Matters

This policy isn't about being rigid. It's about two things we take seriously: your child feeling safe and looked after right up until you arrive, and our coaches being treated fairly at the end of a long day. Get your child to us on time, give us a call when you can't, and the rest looks after itself.
