About This Policy
This policy explains how Hollier Sports collects, uses, stores and protects your family's personal information, and the choices you have about it. Because we work with children, a lot of what you share with us is sensitive, and we treat it that way.
We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988. By enrolling with us or using our website, you agree to your information being handled as set out here.

What We Collect
Most of the information we hold comes straight from you when you enrol your child and as your child takes part in our programs. It includes:

Your details as a parent or guardian: name, email, phone number, and address.

Your child's details: name, date of birth or age, and the program they're in.

Emergency contacts and the people you authorise to collect your child.

Health and additional-needs information you choose to share: medical conditions, allergies, medications, injuries, and anything relevant to an Individualised Soccer Support Plan. This is sensitive information, and we only collect it so we can look after your child safely.

Payment information, which is handled by our payment and booking providers, not stored by us directly.

Notes our coaches make about sessions, including session recaps and any incident records, which may mention your child.

Photos and video from sessions and events, where you've consented, as set out in our Photo and Media Consent.
When you use our website, some information is also collected automatically, like your device and browser type, IP address, and which pages you visit, which helps us keep the site working and understand how it's used.
Why We Collect And Use It
We use your family's information to run our programs and look after your child. That means delivering sessions, keeping your child safe, contacting you about schedules, changes, and your child's participation, managing enrolments and payments, responding to your questions, and meeting our obligations under child-safe and other laws.
With your consent, we may also send you news about our programs and offers. You can opt out of marketing any time, and doing so won't affect your child's place with us. We don't sell your information to anyone, and we don't use your child's information for third-party advertising.
Your Child's Information
Because our programs are for children, we knowingly collect children's information, and we rely on you as the parent or guardian to provide it and to consent on your child's behalf. We collect only what we need to run our programs and keep your child safe, we keep it within our coaching and management team, and we handle it with extra care. If you'd like to see, update or discuss the information we hold about your child, contact us any time.
Health and Sensitive Information
The health and additional-needs information you share is sensitive, and we give it particular protection. We collect it with your consent, use it only to support and keep your child safe in our sessions, share it only with the coaches who work with your child, and store it securely. Where you've shared a medical or action plan or details for an Individualised Soccer Support Plan, we use it solely for that purpose. Who We Share It With
We keep your information within Hollier Sports wherever we can. We share it outside the business only in limited situations:

With the service providers who help us operate, such as our website and booking platform, our session-recap and form tools, our email service, our payment provider, and our bookkeeper for payroll and accounts. They handle your information on our behalf and only for the purpose we've engaged them for.

With a school or its outside-school-hours care, where it's needed to keep your child safe in our after-school programs, such as confirming attendance or managing a missing-child situation.

Where the law requires it, or to protect a child's safety, including reporting obligations under the ACT Child Safe Standards and the Reportable Conduct Scheme, as set out in our Child Safety Policy and Code of Conduct.

In an emergency, with ambulance, medical or emergency services, so your child can be cared for.
How We Store and Protect It
We store your information securely and limit access to the people who need it. No system is ever completely secure, but we take reasonable steps to protect your information from misuse, loss, and unauthorised access. Some of our service providers store data on servers outside Australia, and where that happens we take reasonable steps to see that your information stays protected.
How Long We Keep It
We keep your information for as long as we need it to run our programs and meet our legal obligations, including the records we're required to keep as a child-safe organisation. When we no longer need it, we take reasonable steps to securely delete it or de-identify it.
Cookies and Our Website
Our website uses cookies, small files stored on your device, to keep the site working, remember your preferences, and help us understand how the site is used. You can set your browser to refuse cookies, though some parts of the site may not work as well if you do.
Seeing and Correcting Your Information
You can ask us what personal information we hold about your family, ask for a copy, and ask us to correct anything that's wrong or out of date. Contact us at hello@holliersports.com and we'll help. There's no charge to ask, and we'll respond within a reasonable time.
If You Have A Concern
If you're worried about how we've handled your family's information, tell us first at hello@holliersports.com and we'll work to put it right. If you're not satisfied with how we've dealt with it, you can contact the Office of the Australian Information Commissioner (OAIC), the national privacy regulator, at oaic.gov.au.
Changes To This Policy
We update this policy from time to time as our programs grow and the law changes. The current version always lives on our website, and the date at the top tells you when it last changed. If we make a significant change, we'll let families know through our usual channels.
